      CorpTrav no longer booking OSD trips?

      So I just contacted CorpTrav today to start booking my trip (for late April!!!), and I got this response.

      "As of today, we are no longer the agency attending to the Volvo OSD program. If you can send your order number and a phone number we can give your information to Volvo to pass along to the new agency."

      Seriously? I'm very concerned and confused. Is this a brand new development, or have other people used this new agency?

      I was just about to post about this...my trip is mid-May and I got the same response when I called today. Apparently this is a new change as of Tuesday...

      Probably a change for the better. Volvo is really trying to clean up all aspects of it's customer service side of things. I'd say nothing to be worried about. I'll try to find some info for ya.

      Hey, I'm new here and can help with this. I called today to schedule my travel for my May 2020 delivery. Someone at CorpTrav informed me they no longer had the contract and gave me a number which turned out to be Barbara's direct line with OSD. She said it has switched to ADTrav out of Birmingham, AL and their phone number is 1-833-710-0842. I just called them and they are very nice. They said this is their first day handling Volvo OSD customers. As far as Barbara and ADTrav is aware, none of the rules regarding OSD travel arrangements should change. Hope this helps!

      Just off the phone with Volvo OSD; their line is - if you started with corptrav, they will finish.
      Where - if you have "booking" in place, continue with old.
      Phone number for new travel agency is 833-710-0842.

      I am still unclear which travel agency will be servicing us.

      When such switch happens, OSD _should_ print a list of open orders and check with CorpTrav at which stage each order travel is, and make a list - you (CT) finish the A list, thew one will deal with B list.
      Then OSD should contact each customer and notify them. Also, notify all the folks in Volvo sales dealin with OSD, you know, proactively..

      Having customers chasing OSB and travel agencies is a bit embarrassing or amateurish.
      Of course, just my luck, Barbra, who looks like is the sole authority on OSD, is out of office today.

      We placed initial order around Nov 25. We waited 3 weeks for OSD to pass our order number & info to CorpTrav.... and now this. So far, 1.5 months wasted.


      my delivery is 4/20, so we shall see.

      I still don't have any clear answers but the folks here that had outstanding orders did know it was coming, just nothing more beyond knowing a change was coming. No one here seems to know what the change is and I've not got a response yet from the email I sent. Actually we have told a few customers not to set up travel until after the switch because of knowing it was going to happen.. I just missed the memo because it's been a few months since I got to send someone. I do think the change was made to make things less amateurish... OSD is more popular than it has been in the past from my understanding. I had always done things different than the official way in order to bypass some of the previous inefficiencies. For example, I never tell a customer to wait for OSD to reach out to them, because sometimes that just wasn't happening. It's very embarrassing to not know about something with your product experience like that. And while it's always worked out, folks have real lives they're adjusting to fit the trip in, and not having the confirmation for things in a timely manner would make anyone anxious.

      In my case, I knew nothing of the switch - learned here today. Also, the 3 weeks wait for OSD to push my order ## to CorpTrav (supposedly delay was cause by need to push delivery date - but again OSD did not made efforts to reach to me, I had to chase the process) is embarassing. I am happy for Volvo that OSD is popular and that sales are growing - good for all of us ! At same time, please understand my _frustration_ as a customer that I have to chase OSD, travel agency, call everyone around asking and pushing. That is not the way it should be done - either a sales rep should be the one chasing the process, or the OSD should be managing the process - you know, checking that customer was contacted, that customer arranges travel, that all is lined up etc. It is not a rocket science, you know. Change management is not a black magic; instrumenting a purchase which include travel and pickup of a vehicle over 4-5 months time can be mapped, described and orchestrated using any of a dozen of process management tools, to simplify, automate and organize all of that. You do not want to spend time on the phone handwalking every customer because OSD changed travel agents.

      Let's hope that we will get to EU without any further shakeups (just got a word from old corptrav that they will continue to work on our trip), pick our car, spend some time cruising Europe and receive car in US in the summer.

      Hmmmm. We just got confirmation of our Volvo factory date about 10 days ago so we had not started with Corporate yet, so it makes me wonder when we will hear from the new group. Considering we do have our pick up date I assume we could still be working on trip details not directly relayed to our time at Volvo. We will be going to Italy a few days after we leave Volvo- without the car.

      A quick other question- if we do a relatively early pick up time and stay for lunch and factory tour, what time realistically could we expect to be out of there in comfortable time to get to train station? Don’t want to be rushed.

      You should contact the new number to get this arranged sooner than later.

      It takes 10 to 20 minutes to return the car depends on if a person is ready to receive it there. It would be better to return the car before lunch, then the lunch and factory tour, which ends around 2pm I think.

      It was around twenty minutes for us, but our driver was a bit late. He still got us to the airport on time for our morning departure. We informed the FDC of our need to return the car ASAP when they opened in the morning. It went smoothly.

      I've just emailed AdTravel, so we'll see how it goes!

      I actually placed my order Nov 8, and it took 6 weeks for Volvo to approve my order and assign my delivery date. My local dealer just told me to get in touch with the OSD contact whenever I've had questions, who turned out to be the very nice Barbara, but neither of them informed me about any upcoming switch with the travel agency.
      It was pure luck that since it got approved so close to Christmas, I decided to wait until after the new year to start arranging travel. I can't imagine starting with CorpTrav only to find out after starting the process that they weren't doing OSD bookings anymore.

      Of course, I'm a big planner, so waiting for a travel agent to contact me drives me crazy! LOL. If I have time to call, I'll probably do that today.

      Thank you to everyone who was able to give me AdTravel's contact info! You've been more helpful than anyone else during this process!

      Actually, I hadn't heard about that package option, so no I wasn't. But my dealer did tell me that they can allow you to make a travel stop at another destination, so we are going to try to stay in Dublin on our way back to the US.

      And AdTrav has already gotten back to me with an info form to fill out, and I've scheduled a time to talk with them this week to start arranging travel. So far, I'm happy with the quick response from them!

I submitted an OSD order 3 weeks ago with a requested pick up date of April 28 but am still awaiting the confirmation. I can't believe it took 6 weeks for you to get your confirmation...so I guess I'm in for a long wait. Please keep us posted on your experience with AdTravel as I'll be right behind you in the planning process. BTW, Dublin sounds like a great side trip. Fantastic.

      I submitted my order on Dec 12 - still haven't received the confirmation packet in the mail, but I called OSD Customer Care and was given verbal confirmation of my travel date.
      Tina from AdTravel responded next business day after I reached out to them by email - same thing with the initial form to complete then scheduling a phone call. Hoping the planning goes smoothly!

      Coincidently, a few hours after I sent my reply to Manthie on this thread, I received an email from Tina (AdTravel) introducing herself and asking me to complete the client profile so that they can begin the planning process. So it appears that AdTravel is actively working the queue; very reassuring so far.

      YES!!! I have a very specific date I wanted to pick my car up, and was encouraged by my local dealership not to order any sooner than 6 months in advance (which I did). Now 3 weeks have gone by and I haven't heard from the travel service. I am so ready to make some plans and feel very held up by this. Frustrating start to what I'd always hoped would be a dream trip!

      FYI: I still hadn't heard back so I tried calling today - was told the two AdTrav agents working with OSD are currently in Sweden meeting with Volvo and won't be back in the office until Monday.

      Still no luck being able to set any plans here...Told to try again next week. They're still making arrangements for people traveling in Jan.
      I know I'll stay low priority until they clear the back log, but it's frustrating to see flights and hotels continue to book up while stuck waiting for 4+ weeks. Doesn't seem like the transition over to the new company was planned very well.
      You should hopefully be able to get a faster response if you're traveling soon though. Good luck! Keep us updated on how it goes!

      If you know your approximate and/or desired travel dates you might want to start monitoring/checking pricing on Google flights so you're better informed when you hear back from AdTravel.

      When we did our OSD in 2018, I researched and selected the cheapest routing that worked for us, because I wanted Volvo to pay for our flight from GOT to Ireland with a stopover in London on our way back to SFO. I had those flights at my fingertips while discussing booking options with CorpTravel. I asked CorpTravel if Volvo would pay for the additional flights since the total cost of our trip was still less than what Volvo would have paid for direct flights with no stopovers from SFO to GOT.

      I think my agent appreciated the screenshot I sent her showing the exact flights/segments I wanted, so she could easily compare our itinerary to the standard direct flight options. Well not only did Vovo pay for our Ireland flight, but we were able to fly into Dublin and depart for LHR from Shannon at no additional cost!

      I have no idea if Volvo's travel policies have changed with the switch from CorpTravel to AdTravel, but thought I'd share my experience in case others find it helpful. As always, YMMV.

      1. Can I ask AdTravel for open-jaw tickets: SFO - Stockholm, Munich - SFO?

      Our family did open-jaw back in June 2018, definitely not a problem. There was a cost limit that guided flight choices (i can't remember what the price was) but I'm guessing it's dependent on how far and from where you're traveling, ie flying from NYC vs SFO vs rural North Dakota. Anything beyond Volvo's air or hotel budget we had to pay for. Don't be afraid to ask the travel agency for various scenarios, I distinctly remember they were great and patient about that. Made me very comfortable we were making the best trip possible for the OSD and European summer vacation. Good luck and please share your findings!

      They are very flexible up to their total cost limit.

      We flew into Copenhagen and spent a couple of days there first.
      Then after the OSD we flew home from Stockholm after spending a few days there.

      I had expected to just take the train from Copenhagen up to Gothenburg, but they flew us up there because it was still within their cost limit. After dropping it off at the FDC we took the train from Gburg to Stockholm. Very nice high speed train.

      BA allows free stopovers in London in both directions if you have a connection through LHR so you can actually visit London twice, once in each direction. SAS has similar provisions but for connections through SAS hubs.

      For our 2017 OSD, we flew SAS economy+ for most segments. Specific routing was SFO -> COP -> BCN -> GOT, then STO -> SFO. We flew TAP to/from BCN and paid for economy+ BCN -> GOT on our dime. We also paid for the train to STO.

      We spent 3 nights in Copenhagen, 5 nights in Stockholm, 2 nights in Gothenburg and purchased the optional 3 night side trip to Barcelona offered by Volvo during certain times of the year and added an extra 4th night paid by us.

      Due to a huge mishap with our local dealer we were able to do the 2017 OSD trip as planned, but the dealership purchased our car directly from FDC because they wanted our XC60 allocation. We never took delivery/title.

      For our 2018 OSD, we flew BA economy+ for all segments. Specific routing was SFO -> GOT -> DUB, then SHN -> LHR -> SFO. Volvo paid for all our flights. We spent 2 extra nights in Gothenburg, 13 nights in Ireland, and 9 nights in London on our way home. We planned our trip around the Raiders game in London!

      We learned our lesson and this time we worked with Bob Kennedy who we highly recommend!!

      YES! FINALLY!! I received flight confirmations from Tina at AdTrav after our initial call today. Overall it has been 7 weeks after placing the order & 4 weeks after receiving the order confirmation.
      I did send her screenshots of our requested flights, which seemed to really help the process.
      Volvo is covering open-jaw tickets and the connection between (all on SAS Plus with lounge access, etc). We are traveling SAV-GOT, GOT-ARN, ARN-SAV.
      With the confirmation code, I was also able to choose our seats, bid for cabin upgrades to business, and add our United MileagePlus numbers (instead of EuroBonus points that we will probably never use again).
      Now on to finalizing our driving itinerary and hotels

      CONGRATS hamletkm!!! You must be so relieved. May I ask how you were able to get Tina's attention to proceed with your planning? I've been exchanging emails with her and her last update a couple days ago was that they are still working on Feb and Mar deliveries so she can't get to me yet with a late April delivery. All she could offer me was to book an appointment with her through their online calendaring system and the earliest appointment I could get was Feb 11. Should I take more of "squeaky wheel" approach? I'm very, very happy for you but I feel so disappointed in AdTravel.

      I got similar response when I tried calling/emailing over the last few weeks.
      I did end up waiting until the appointment time I had set through the online calendar, but our call only lasted about 10min and could have all been handled by email.
      Maybe you could try emailing her again with all your specific booking details if you don't have a lot of other questions?
      I chose to stick with SAS and knew the prices were in line with what Volvo should approve. I sent her screenshots of the exact flights we wanted, along with our names, DOBs, passport info (name, number issue & expiration dates, country). She basically called, said it looked good, confirmed all the info, and sent me the confirmation email that evening.
      Our delivery is in May, so I was pleasantly surprised to have been able to push the process through. Good luck!!
